Invoicing
Invoices that get paid, and stand up to an audit.
From quotation to the last shilling received, each document in gitobiz starts from the one before it. The customer’s balance, the VAT return and the cash account all move as you go.
What it does
- Quote to cash
- A quotation converts to an invoice, the invoice to a delivery note, and each payment settles it. Nothing is typed twice.
- Part payments and withholding
- Record payments as they arrive. When a customer withholds tax, the invoice is still settled in full and the withheld amount is kept as a credit, not lost as a shortfall.
- Credit notes
- Credit some or all of an invoice at the prices it charged. The VAT goes back to the original invoice’s period, and restocked goods return to the shelf.
- Deposits and refunds
- Take money before the invoice exists and apply it later. A refund can go out by cash or mobile money, from whichever account paid it.
- Your layout
- Every plan prints with your logo. From Starter, choose a style or design your own template with your colours and terms.
- Verifiable documents
- Every invoice carries a QR code that opens its record on gitobiz. A customer, bank or supplier can check a paper copy without an account.
- Statements
- Each customer’s invoices, payments, credit notes and balance on one page.
- Email from the app
- Send the invoice as a PDF straight from gitobiz — through your own mail server, if you set one up.
Made for Uganda
Built around how business is done here.
- EFRIS: type the fiscal document number and verification code from EFRIS, and they print beneath the invoice totals. An FDN can be used only once.
- URA VAT counted on the invoice date, with standard, zero-rated and exempt lines kept apart
- Your MTN and Airtel merchant codes printed under payment options, so customers know how to pay
Does it work with URA EFRIS?
Yes, as a record. Fiscalise an invoice or credit note in EFRIS as you do now, then type its fiscal document number (FDN) and verification code into gitobiz. It refuses an FDN already used on another document and prints it beneath the invoice totals. Sending documents to EFRIS directly from gitobiz is not built yet.
Can a customer pay one invoice in several parts?
Yes. Each payment is recorded against the invoice, in the account it went into, and the invoice shows what is still due.
What does the customer see when they scan the QR code?
A page on gitobiz showing who issued the document and what it says. If the paper copy has been altered, it will not match.
It is all one system
VAT and withholding
VAT counted on the invoice or sale date, standard, zero-rated and exempt kept apart, and the month’s return ready when the month ends and locked once filed. Withholding tax kept as a credit per customer.
