Every sale, every shelf, every branch — accounted for.

gitobiz keeps the books of a trading business: invoices and the till, stock in each branch, bank and mobile money, VAT and withholding. One sale updates all of it, and every figure can show you where it came from.

One sale, followed through

Sell two bags of cement. Four ledgers move with it.

Most tools record the sale. gitobiz also records what the sale did: to the shelf, the till, the margin and the day's cash. It's one transaction, so either all of it happens or none of it does. Nothing is left half-posted for someone to fix on Friday.

Why it can be trusted

What gitobiz won’t let happen.

Books rarely go wrong in one big mistake. They drift: a quiet adjustment, a retyped count, a rate that changed underneath last year. These are the rules that stop that. Open any of them for the reasoning.

  1. 01

It won’t paper over a reconciliation gap.

A cheque written on the 28th and cleared on the 3rd isn’t an error, so gitobiz shows it as money in transit. It doesn’t invent an adjustment to hide it, and a statement won’t sign off until every shilling of difference is explained.

    Why this matters

    The usual way

The bank says one figure and the books say another, so someone posts an “adjustment” for the gap and moves on. When the cheque finally clears, the account is wrong by twice the amount, and there are two entries that both look reasonable.

    In gitobiz

gitobiz compares the statement with what has actually cleared, and lists what is still in transit beside it. A difference has to be found, usually a bank charge nobody entered. It can’t be plugged. Once signed off, a reconciliation is locked, because it is the evidence for that month.

  2. 02

It won’t sell what isn’t on the shelf.

Two tills reaching for the last bag at the same moment: one sale goes through, the other is told. Stock is the sum of its own movements, so every count has a history.

    Why this matters

    The usual way

Stock is a number in a box that anyone can retype. When it is wrong, nobody can say when it went wrong, or why.

    In gitobiz

On-hand stock is only ever the total of a ledger: received, sold, delivered, counted. Each line names the document that caused it. A sale that would take a branch below zero is refused at the database, not by a check that two people can pass at once.

  3. 03

It won’t rewrite last year’s VAT.

Rates are dated, and every line keeps the rate it was issued at. Close a month’s return and the period locks, so the figures you filed stay the figures you filed.

    Why this matters

    The usual way

The rate lives in one setting. Change it, and every old invoice re-prices itself the next time a report runs. The return you filed in March no longer matches March.

    In gitobiz

A rate change closes the old rate and starts a new one; it never edits a number in place. Each document stores the tax it was issued with. Closing a VAT period freezes the return and locks the period, so nothing dated inside it can quietly change the figures you filed.

  4. 04

It won’t post the rent twice.

Recurring bills keep to their schedule: rent due on the 31st is due on the 31st, the 28th, then the 31st again. A duplicate run is refused by the database, not by someone remembering.

    Why this matters

    The usual way

A scheduled bill steps forward from the last one, so February’s 28th becomes the new due date forever. A retry posts the same rent twice.

    In gitobiz

Every due date is worked out from the original start date, so month-end bills stay at month-end. Each occurrence can exist only once. Nothing posts by itself unless you said it may. Otherwise it waits for a person to confirm.

  5. 05

It won’t forget who changed what.

Every change is logged with who made it, when, and what it was before. The records one action produced are chained together, so you can follow a sale from till to ledger.

    Why this matters

    The usual way

An edit overwrites the old value. When a figure looks wrong a month later, the only record is someone’s memory.

    In gitobiz

Every create, edit, approval and deletion is written to the audit log with the old and new values. One click from any entry shows everything else the same action did. When our support team looks at your account, that appears in your log too.

  6. 06

It won’t let a forged invoice pass.

Every quotation, invoice, receipt and sale carries a QR code. Anyone can scan it and see the document as it stands on your record, so an edited copy gives itself away.

    Why this matters

    The usual way

A PDF is just a picture of a document. Change a figure in an editor and the copy looks every bit as real as the original.

    In gitobiz

Each document is printed with a code that opens its record on gitobiz, showing who issued it and what it says. A customer, a bank or a supplier can check a paper copy in seconds without an account.

Built for more than one counter

One company. Every branch. Each person sees their part.

  • Customers and products are shared; stock, sales and the day’s cash are kept per branch, and the owner sees them added up.
  • Roles fit how you actually work. Start from Staff, Manager, Finance or Branch admin, or copy one and tick exactly what a storekeeper may do.
  • Spending needs a signature. Requests above your threshold need two approvers before any money goes out.

Questions

What people ask before they start.

Something else? Ask us and you'll get an answer from someone who knows the system.

What does it cost?

Nothing to start. Every company begins on the Free plan: one branch, 3 users and 100 products, with every module switched on, no card and no time limit. Paid plans start at UGX 25,000 a month when you need more room — see the pricing page.

We already have stock on the shelves. Do we type it all in?

No. Download the product spreadsheet template, fill in your products with their counts and costs, and import it. The counts become your opening stock for the branch you choose, and re-importing the same sheet changes nothing.

Can my staff use it without seeing our margins and bank balances?

Yes. The built-in Staff role can sell, invoice and record work without seeing the branch’s financial position. If you need something in between, on Starter and above you can copy a role and tick exactly what it may do.

Do we have to use Ugandan shillings?

A new company starts in UGX, and you can change the currency in your preferences before you start. Mobile money sits alongside bank and cash accounts as an account type in its own right.

Can our accountant have access?

Add them as a user with the Finance role. They get the accounts, reconciliation, VAT returns and tax settings, and every change they make is in the audit log like anyone else’s.

Do we need to install anything?

No. gitobiz runs in the browser on a computer, tablet or phone. Each person signs in with your company handle, their email and their password, and can turn on two-step verification.

Your first invoice is ten minutes away.

Create your company, add a product and a customer, and print an invoice with your logo on it. The getting-started guide walks you through every step in order.
