The product
Everything a trading business runs on, in one set of books.
Six areas, one set of records, and control over who does what in each branch. A sale reaches the stock, the cash and the VAT return in the same moment, so no report has to be reconciled with another.
01 · Sell
A quote becomes an invoice, an invoice becomes cash.
Quote, convert, deliver, invoice, get paid: each step starts from the one before, so nothing is typed twice. Customers can pay in parts, and each payment lands in the account it actually went into.
- Your own layout
- Every plan prints with your logo. From Starter, choose a style or arrange your own template, with your colours and terms.
- Point of sale
- A counter screen for quick sales that updates stock and the till as it goes.
- Verifiable
- Every document carries a QR code that opens its record, so a forged copy shows itself.
- Statements
- Each customer’s invoices, payments and balance in one place.
02 · Buy & stock
A count you can explain, line by line.
Stock on hand is the total of a ledger: receipts, sales, deliveries and counts, each naming the document behind it. Two tills can’t sell the same last item, and the cost of goods is worked out from a weighted average as stock arrives.
- Purchase orders
- Order from suppliers, receive against the order, and see what you owe them.
- Per branch
- Each branch keeps its own stock; products and prices are shared across the company.
- Opening stock
- Import your products and current counts from a spreadsheet instead of typing them in.
- Counts
- Record a stock count and the difference is posted as an adjustment, with a reason.
03 · Money
Every balance, and the reason it’s that balance.
Bank accounts, mobile money and each till are separate accounts with their own balance, built from their own movements. Receipts attach to expenses, larger spending goes through approval, and reconciliation checks what has cleared, not just what was recorded.
- Daily balance
- Each branch closes the day with income, expenses and cash carried forward.
- Requisitions
- Staff request money; approvers sign; finance pays out, with the receipt attached.
- Budgets
- Spending is judged against how far through the period you are, not just the total.
- Recurring bills
- Rent, salaries and subscriptions on schedule, waiting for confirmation unless you allow auto-posting.
04 · Tax
The VAT return is already done when the month ends.
VAT is counted on the invoice or sale date, which is when it is owed, and every line keeps the rate and treatment it was issued with. Close the month and the return is frozen, the period is locked, and paying it is an ordinary expense.
- Withholding
- Tax withheld by a customer settles the invoice and is kept as a credit, not lost as a shortfall.
- Treatments
- Standard, zero-rated and exempt are separate on every line. A 0% rate alone can’t tell them apart.
- Directly recorded income
- Rent, commission or scrap sales carry VAT too, and reach the return.
- Dated rates
- A new rate starts on its date. Old documents keep the rate they were issued at.
05 · Projects
Jobs, crews and costs on one schedule.
Plan a job with milestones and tasks, link the tasks that depend on each other, and the schedule shows the critical path and where there is slack. Workers are assigned, marked present and paid; wages owed still count against the budget before payday.
- Gantt chart
- Drag to reschedule; the same chart prints for the site meeting.
- Labour
- Attendance, day rates, bonuses, deductions and payments for each worker on each job.
- Job costing
- Expenses, invoices and unpaid wages held against the budget, across every branch.
- Tasks
- A queue for each person, with comments on the task where the work is discussed.
06 · Customers
Know who you’re selling to next.
Leads move through a pipeline, weighted by how likely each one is to close. Calls and meetings are logged against the lead, follow-ups come back as email reminders, and a won lead becomes a customer without re-entering anything.
- Follow-ups
- A due list for everyone, so a promised call doesn’t depend on someone’s memory.
- Gone quiet
- See which leads nobody has spoken to lately, and sort by it.
- Lost, with a reason
- A lead can’t be marked lost without saying why, so the reasons can be counted.
- Campaigns
- Track which campaign brought a lead in.
07 · Branches & control
Open another branch without losing sight of the first.
Customers and products are added once and shared by every branch; stock, takings and the day’s cash stay with the branch they belong to, and the owner sees them added up. Each person gets a role per branch, and anything that moves money leaves a trail you can follow.
- Roles you compose
- Start from Staff, Manager, Finance or Branch admin — or, from Starter, copy one and tick exactly what it may do. Staff can sell and invoice without seeing margins or bank balances.
- Two-signature spending
- Requests name two approvers. Below your threshold either can sign; above it, both must, before finance pays out.
- Audit trail
- Every change is logged with who, when and what it was before, and the records one action produced are linked together.
- Owners stay owners
- Billing, branches and users are decided by company role. No custom role can be ticked into an owner.
- Two-step sign-in
- Anyone can protect their account with an authenticator app, and an owner can see who has.
- Support you can see
- If our team opens your account to help, the visit is recorded in your own audit log.
